Hibbett Centralizes Leave Administration Across 35 States

One Workflow Replaces Manual Leave Tracking Across 1,100+ Stores

Key Achievements

  • Replaced a manual, decentralized process across 1,100+ stores and 35 states with one centralized platform
  • Automated FMLA and state paid-leave tracking, removing manual compliance research case by case
  • Cut time spent on administrative tasks, freeing HR to focus on employee support and active case management

  • Gave HR full visibility into workloads, compliance status, and deadlines across every store/state
  • Identified employees able to return to work sooner while flagging cases where return wasn't likely, improving staffing decisions

Background

Hibbett is a sporting goods retailer operating 1,100+ stores across 35 states, now a subsidiary of JD Sports. The company moved its leave-of-absence administration to Pulpstream to replace a manual, decentralized process that made it difficult to track cases, confirm eligibility, and consistently apply the
right leave option
across locations.

Challenge

Before Pulpstream, Hibbett's leave administration was manual and spread across separate tools and inboxes. Tracking tasks, managing case timelines, confirming eligibility, and identifying the right leave option all required individual effort with no centralized visibility.

"Leave administration processes were largely
manual and less centralized. This made it challenging to track tasks efficiently, ensure timely case management, accurately determine employee leave eligibility, and consistently identify the most appropriate leave options based on individual circumstances."

Catina Henderson,
Benefits Administrator, Hibbett

Solution

Pulpstream replaced Hibbett's scattered processes with a single system in which intake, case steps, deadlines, and case information all live together. The platform automates tracking of FMLA and applicable state paid leave requirements, so every case follows the same compliant path regardless of the store or state.

Why Pulpstream Set Itself Apart:

  • Single platform replacing a manual, decentralized process across 1,100+ stores

  • Automated tracking of FMLA and applicable state paid-leave requirements

  • Consistent, compliant path regardless of store/state

  • Custom reports and tailored dashboards built around Hibbett's workflows

  • System handles the mechanics; HR retains every decision

Results

Pulpstream produced measurable improvements across three areas Hibbett's team identified directly.

Efficiency

Reduced time spent on manual administrative tasks, freeing capacity for employee support and active case management.

Visibility

Centralizing tasks, deadlines, and case information gave the team a clear view of workloads, compliance status, and follow-up timelines.

Consistency and Compliance

Greater consistency and accuracy in leave administration, including clearer eligibility determinations across a multi-state retail footprint.

Return-to-Work: Clearer Workforce Planning

Pulpstream helped Hibbett identify employees who could return to work sooner, while also flagging cases where an employee might be unable to return, giving HR and operations a clearer picture for staffing decisions and case resolution.

"Pulpstream has helped us identify employees able to return to work more quickly, while allowing us to recognize situations where employees may be unable to return. This has improved workforce planning, reduced delays in staffing decisions, and supported more timely case resolution”
